Needs a nudge: clients slipping away, with the reason

A list of clients who have not been in for longer than they usually leave it, owe on a membership, are nearly out of a package with nothing booked, or missed a booking. Each stays until someone gets in touch.

Customers → Needs a nudge lists clients who need someone to get in touch, most urgent first, each with the reason in a sentence: “Usually every 8 days; last came 25 days ago”, “Coaching 12: payment overdue”, “2 of 10 sessions left on 10 facials, nothing booked”, “Missed their PT session on 29 Sept”.

  • Away longer than usual: their usual gap between visits (from their own history) times 1.5, and never sooner than 14 days, with nothing booked ahead.
  • A first visit and no second after 30 days.
  • A membership payment overdue, or a membership ending in the next 14 days.
  • A package down to 2 sessions or fewer, with nothing booked.
  • A booking missed (marked no-show) in the last 7 days.
  1. Message opens their conversation, or your own WhatsApp on a chat with them (or an email). Nothing is sent until you press send.
  2. Book opens a new booking for them.
  3. Contacted takes them off the list until something new happens: a new reason that began after you marked it brings them back.
  4. Snooze 7 days hides them for a week.

Everyone or My clients narrows the list to the people assigned to you. Contacted or snoozed shows the ones taken off, with Back on the list to undo.

Client settings

Customers → Client settings sets when someone is flagged (the gap multiple, the minimum days, the first-visit days, the membership days, the package sessions, the no-show days), the milestones and the monthly goal (and a goal per membership plan), the Refer a friend reward, and the age under which a guardian signs forms. Owners and admins change them.
