The client timeline, notes and alerts
One feed of everything that happened with a customer, notes your team keeps, and alerts everyone sees before serving them.

CustomersThe timeline
Open a customer (Customers → All contacts → their name). The Timeline tab comes first: one feed, newest first and grouped by day, of their visits (bookings, an upcoming one at the top), purchases (Checkout receipts, store orders and checkouts started), messages (each conversation at its latest message, and tickets from their email), invoices (each invoice once it has a number, payments recorded and credit notes), notes, marketing (emails and WhatsApp broadcasts with whether they opened or clicked, survey answers, product reviews) and the rest (when they became a contact, events from your own system). Tap a pill to show only some kinds; tap it again to take it away. Show older brings the next page. Click a line to open the booking, receipt, conversation or invoice.
- Amounts (a receipt’s total, an invoice, a payment) show only to people with Sales figures: owners, admins, and anyone you give it to under Settings → Team. Everyone else sees the same lines without the amounts.
- Receipts count every contact with the same phone number, as the Money tab does.
- Tags added over time are not on the timeline: doTask keeps a person’s tags, not a history of them.
Notes
- On the Timeline, write in the box at the top and press Add note.
- Tick Health (team only) for anything about their health. Tick Pin to the top to keep it above the feed.
- Mention lets you tell a teammate: they see it in their notifications (the bell) and can open the customer from there.
- Edit, Pin or Unpin and Delete sit under each note, for the person who wrote it and for owners and admins.
Notes are your team’s only: never sent to the customer and never shown in the customer portal. Deleting takes a note off every list; it is kept in the background for the record. Notes written inside a conversation also appear here, marked “Note in a conversation”.
Alerts
An alert is something everyone should see before serving the customer: an allergy, a past complaint, “pays by transfer only”. Pinned alerts show as a coloured bar on their record, above the conversation in the inbox, in the booking on the calendar, on the sale at Checkout, and as an icon beside their name in Today and All bookings (point at it to read them).
- Press + Alert at the top of their record (or in the Timeline section of the inbox’s details panel).
- Write it, pick Info, Caution or Health, and press Add alert. It is pinned at once.
- Unpin it from the Timeline when it no longer applies; it stays on the timeline but leaves the bars.
- Health (red) — allergies, conditions, injuries. Team only: the AI Agent never sees a health note or alert, whatever its settings.
- Caution (amber) — check before serving: an unpaid balance, a past complaint.
- Info (blue) — good to know: a preference, a regular request.
Letting the AI Agent read notes
Off unless you switch it on: AI Agent → Configure → Read your team’s notes about the customer. When on, the AI Agent reads that customer’s notes and pinned Info and Caution alerts as background — to know they prefer a stylist or should not be offered something — and never quotes them or tells the customer they exist. Health notes and alerts are never given to it.
