Expenses and what is left over

Record what the business spends, by category, and see it beside the money that came in over the same days.

Sales → Expenses lists what the business has spent between two dates (this month to today, unless you choose others), with the total for each category beside it. It needs Sales figures, like the Sales list.

Recording an expense

  1. Record an expense.
  2. Choose the date and type the amount.
  3. Choose a category, or type your own: the ones you have used before come first.
  4. Say who was paid, what it was for, and the staff member who spent it if that matters.
  5. Save.

Repeating expenses

Tick Repeat every month when you record an expense, and it is added again every month on the same day (on the last day for a month that is shorter). The months already due are added at once. Repeating expenses are listed above the expenses; Stop ends one, and what it already added stays.

Money in, expenses, left over

Money in adds the payments recorded on client accounts (a customer’s Money tab) and the sales completed at Checkout over the same days. They are separate records, so nothing is counted twice. Left over is money in less expenses. Expenses brought in from another system say so on their line.

Client accounts

A customer’s Money tab shows every charge, payment and adjustment on their account with the balance after each: below zero they owe you, above zero they are in credit. A payment is taken with Receive payment at the top of the Money tab: it issues a numbered receipt, pays their open invoices and keeps the rest as credit on the account. Owners and admins can also add a charge, or adjust (a refund, a write-off, a goodwill credit). History brought in from another system stays as it was; correct it with an adjustment.
