Setting up bookings

Services, then resources, then Publish bookings.

Bookings
  1. Bookings → Settings → Your industry. Pick the closest (salon, clinic, restaurant, gym, tuition, hotel, rental, home services, agency, events): it sets the calendar that opens by default, the numbers, and the words the dashboard, the booking page and the AI Agent use (stylist / patient / guest / reservation…). Every one of them stays editable.
  2. Bookings → Services → New. Name, price, and how it is scheduled: an appointment (a slot with a person or place), a class or session (a fixed time with seats), a stay or rental (check-in and check-out dates in a unit, priced per night or per day, with shortest and longest stay), or an arrival window (a time window at the customer’s address — a technician, a cleaner, a delivery — with the windows you offer and the areas you serve).
  3. Bookings → Resources → New. Who or what delivers it: staff, rooms, tables, equipment. Set each one’s hours, and for a person choose their login under Team member so they can block their own time.
  4. Bookings → Settings: set how often slots start, the minimum notice, how many days ahead customers can book, and the cancellation notice, then Save.
  5. Press Publish bookings (the Online booking card at the top of Bookings → Settings, or the last step on the Calendar). It goes live at once; the card then says Live, with a link to your booking page and Take offline. Publishing needs a paid plan and at least one service customers can book online.

Once published, a customer who asks to book in a chat is offered real free slots, and confirmation goes back on the same channel. On WhatsApp the choices arrive as buttons. A returning customer can say “the same as last time” or ask “when is my appointment?” — the assistant sees their own bookings without a code.

The booking page on your own domain

  1. Bookings → Settings → Your own domain (Starter plan and above). Type the address, such as book.yourshop.com, and press Connect.
  2. doTask shows one record to add where you bought the domain (GoDaddy, Namecheap, Cloudflare, Exabytes…): usually a CNAME named “book”. Copy the value exactly.
  3. Press Check. Once the record is found, the card says Connected and your booking page opens on your address with a secure (https) connection. DNS changes can take a few minutes, sometimes an hour; the card checks again each time you open it.

Links doTask gives out (the booking link, its QR code, the Open booking page button) then use your address. Remove the domain from the same card to go back to the doTask link.

Photos

  • Service photo: square (1:1), 1200 × 1200 px is best and 600 × 600 the least. It shows as a square everywhere (the booking page, the chat widget, the product-page button), so other shapes are cropped from the center: keep the subject in the middle.
  • Team member or room photo: square, 400 × 400 px, face in the middle; it is shown in a circle.
  • JPG, PNG or WebP, up to 5 MB. After uploading, the size is shown under the photo, with a warning when it is too small or not square.
  • Booking flow cover: a wide banner, 1600 × 400 px (4:1). Logo: square, at least 200 × 200 px.

On Shopify: import your products

If your store is on Shopify and you already sell your sessions as products, Bookings → Services → Import from Shopify lists them. Tick the bookable ones, say whether each runs as a class with seats or a private booking, how long it takes (read from the product where it says, like “2-hour session”) and how many it takes. Each becomes a service with the product’s name, description, price and photo, paid through your Shopify checkout. Then open each to choose who or what runs it, and add class times under Sessions.

On Shopify: a Book button on the product page

  1. After importing, press “Add Book button” on the Import from Shopify panel. Shopify’s theme editor opens on your product page with the doTask Book button added.
  2. Move it where Add to cart sits and press Save. The button shows only on products that are bookable here; every other product keeps its normal Add to cart.
  3. On a bookable product the button hides Add to cart and Buy it now (a setting on the block), so nobody buys a workshop without choosing its time. The button opens the chat widget on that service, or your booking page when the widget is off.

Recommended booking set-up (top of Bookings → Settings, owners and admins): from your last 30 days of bookings — an email reminder the day before when people did not turn up, a WhatsApp reminder once your number is connected (it opens the Booking reminder template first when no approved template can send it; Meta reviews a template before it can be used), a cancellation policy when bookings were cancelled and the booking page says nothing about it, and the after-a-booking, next-visit and Google review automations you do not run yet. A settings card fills that part of the form and scrolls to it, marked as suggested; nothing changes until you press Save. An automation card opens the new automation to read before you switch it on. With a business profile, your industry’s items come first: for a hotel the email the day before arrival is a pre-arrival email; for a school, a course reminder before each class; a clinic gets the six-month check-up recall, a gym the training nudge, home services the six-monthly service reminder.
