Checkout: ringing up sales, credit and packages

Sell services, products, packages of sessions and prepaid credit at the front desk, paid by card, cash or the customer’s own credit, with a numbered receipt.

Turn it on under Settings → Sales → Checkout (owners and admins). That adds Today, New sale and Sales under Bookings, Menu and prices under Set up, a Money tab on every customer, and a Sales group in Analytics. Choose the ways people pay; credit is offered on its own whenever the customer holds some. No tax is added to receipts.

Ringing a sale

  1. New sale, then choose what is happening: Sell something, Add credit, or New member. Everyone booked today and the last people served are listed, one tap away; anyone else, type their name or the last digits of their phone, or ring a walk-in. New member adds them to Customers (or uses the one already there with that email or phone) and opens the sale on memberships and packages; Add credit opens it on the credit box. From Today, Check out on a booking starts the sale with the booked service already on it.
  2. Tap items on the menu: Service, Product, Package or Discount, then the section and folder, or search.
  3. Say who did each service. With “Every service needs a stylist” ticked (Checkout settings), a sale cannot be completed until each one names someone. A service done by two: Share with, half each.
  4. Pay: add a payment for each method and its amount. Credit pays all or part of a sale. Only cash can be more than the total; the difference is shown as change.
  5. Complete sale. The receipt gets the next number and can be printed.

A sale can be left unfinished and picked up later from Today or New sale; nothing is taken until it is completed. An unfinished sale can be deleted.

Credit and packages

Credit is bought as a Credit top-up on a sale (the customer pays by card or cash) and spent as a payment method. A package bought on a sale gives the customer its sessions, valid for the period set on the package in Menu and prices (Valid for, from the day it is sold; empty means no expiry); Use a session at checkout takes one off, at no charge, and so does Done on the calendar. Both are shown on the customer’s Money tab, with every movement. If the same person is on your records twice with one phone number (for example once from the salon and once on WhatsApp), their credit and packages are read together.

Customers can ask for their own figures too. The AI Agent answers “how much credit do I have left”, “how many sessions are on my package” and “when did I last come in” for a customer it can prove: on WhatsApp from the number itself, or on the web when your page signs the customer in, or by email. On Instagram, Messenger or an unsigned chat it asks them to message you on WhatsApp or sign in to the customer portal instead, and says nothing about any record. The portal’s Money tab shows the same figures once ticked under Settings → Channels → Customer portal. For a customer with no email on record, press Send account link on their Money tab: it makes a private link to those figures that you send from your own WhatsApp or copy (see The customer portal).

Owners and admins can adjust credit by hand on the Money tab, always with a reason. A refund or a goodwill amount belongs there; a paid top-up belongs on a sale.

Discounts

A discount on the menu takes off an amount or a percentage. A percentage comes off the services, products, packages and memberships on the sale, never a credit top-up or a session already paid for, and it follows the sale: add or remove something and it is worked out again. Give a discount a code (PEAKTRIBE20) and searching the code at checkout finds it.

Who sees the figures

The shop’s figures (the Sales list, the day’s takings on Today, Sales → Takings and Commission) need Sales figures. Owners always have it, admins by default; moderators and agents do not, so a stylist can ring sales and look up any customer (what they hold, their visits, their receipts) without seeing the shop’s totals. An owner or admin turns it on or off per person under Settings → Team → Adjust areas.

Corrections

Only owners and admins correct a completed sale, from its receipt. Void takes a reason and puts back the credit and sessions it used, and takes back the credit and packages it gave; it is refused if a package from that sale has since been used. Change payment method fixes a card rung as cash. Every correction is in Settings → Activity log.

TipName the menu the way the desk says it, including the stylist level where the price depends on it: “Classic Pedicure (Senior)”, “Classic Pedicure (Yuki)”.
