The customer portal
Customers sign in with an emailed code, see their requests and bookings, reply, open a new one.

ChannelsThe portal is a public page at app.dotask.io/portal/<your key>. A customer enters their email, receives a six-digit code, and sees every ticket under that address — from email, the chat widget or the portal — with the whole thread. They can reply (the ticket reopens in your inbox with the reply as a message), open a new request, and see their bookings with the code to quote in chat. With checkout on, a Money tab can show their own credit left, sessions left on each package, how many visits and when the last was, their upcoming bookings, and a Book again button to your booking page.
- Settings → Email must be set up: the sign-in code goes out by email.
- Settings → Channels → Customer portal. Tick “Publish”, give it a title and an intro, choose whether bookings show, Save.
- For Membership: turn checkout on under Settings → Sales → Checkout, then tick “Show their membership” here and Save. It stays off until you do.
- Copy the link or QR code into order emails, your email signature and your site footer.
- A code lives fifteen minutes; three per address per quarter hour; five wrong tries end it. The signed-in session lasts thirty days on that browser.
- Only tickets and bookings whose customer email matches the signed-in address are shown; nothing else is reachable.
- Internal notes on a ticket never show; replies from your team do.
- Membership is read from the contacts with the signed-in address. It also takes in the same person’s other contacts with the phone number your team recorded at checkout, but never from a number the customer typed into the chat themselves, so nobody can read someone else’s credit by typing their number. A customer whose checkout record has no email sees nothing until your team adds the email on it, or sends them an account link.
Account links: the portal for customers with no email
Many salon and studio customers are on your records with a phone number and no email, so the emailed code cannot reach them. For them, anyone on your team can send an account link from the customer’s Money tab (Customers → the customer → Membership → Send account link). The link opens that customer’s Membership page — credit left, sessions left on each package, visits and upcoming bookings — with no code to type. Copy it, or press Open in WhatsApp: your own WhatsApp opens on a chat with the customer’s number with the message and link filled in, and nothing is sent until you press send.
- It needs the portal published with “Show their membership” ticked, and checkout on. Until then the Money tab says where to switch it on.
- A link opens for seven days, on as many of the customer’s phones as they tap it on. Once opened, it keeps them signed in on that phone for up to thirty days.
- It shows what your team sees on the Money tab: the customer you picked, together with their other records with the same phone number. Requests, orders and anything else kept under an email address stay behind the emailed code; the portal offers “Sign in with email” for those.
- The Money tab lists the customer’s live links — when each was made, by whom, when it expires and when it was first opened. Revoke stops a link and signs the customer out of it everywhere. Every link made or revoked is in Settings → Activity log.
- Anyone who has the link sees that customer’s membership, so send it only to the customer. doTask keeps only a fingerprint of each link, never the link itself, so a lost link cannot be shown again: send a new one.
