Lists, segments and subscribers
Lists you fill yourself, segments that fill themselves from rules, and the people who agreed to marketing.

CustomersCustomers → Lists and segments shows every audience in one table: the two built-ins (All contacts, Subscribers), your lists and your segments, with how many people each holds today, tags, when it was made and when a send last used it. Star one to keep it at the top; search, or filter by type and tag. A list holds the people you put on it — Create → List, then add people by searching, by pasting email addresses (any text; every address in it is matched to your contacts), from the contacts table (tick them → Add to list) or from a contact’s page. A segment holds whoever matches its rules today. Either can be the audience of a newsletter or a broadcast, and a segment can include or leave out a list (the “In the list” filter).
Recommended segments for your business (top of Lists and segments, for owners and admins): library segments that would hold people today, the fullest first, each with its live count and its rules in words — past clients with nothing booked ahead, people who missed a booking, customers slipping away or overdue (with a store or bookings), the engaged readers once you have sent something, people who never open, and contacts who said yes to WhatsApp. A segment with nobody in it, or one you already saved, is left out. Open and save shows the contacts table filtered by its rules with Save as segment open under its name; nothing is saved until you press Save. The X hides a suggestion for you; See the library lists them all.
Library: ready-made segments — engaged in the last 30 days, never opened, quiet for six months, slipping away, lapsed, regulars, came once and not back, said yes to WhatsApp and more — each with the number of people it would hold today. Add segment saves it as yours to rename or change. Check lists every audience for what is worth tidying: empty, only a handful of people, not used by any send in 90 days, or holding nearly the same people as another.
- Customers → All contacts → add filters (channel, tag, country, lifecycle, a field, first seen in the last n days) or tap a quick filter such as Subscribed or WhatsApp.
- Save as segment. It appears in the Customers column and is one of the audiences a broadcast can go to.
Subscribers are contacts whose email consent is Subscribed — from the pre-chat survey, a Flow, or set on the contact. STOP on WhatsApp unsubscribes; START re-subscribes.
Bookings are rules too, for any workspace that takes them: visits (a booking whose time has passed counts, unless it was canceled or marked a no-show — most teams never press “completed”), days since their last visit, days until their next booking (or nothing booked), no-shows, and the services they have booked. They are recomputed from the bookings every quarter hour, so a booking moved or canceled is reflected without anybody doing anything. “Visits at least 3, and nothing booked” is a regular about to drift away.
Show ads to a segment: at the foot of a segment, “Show ads to this segment” downloads it as an ad audience — a Meta Custom Audience (for Facebook and Instagram ads) or a Google Ads Customer Match list — to upload in your ad account. Emails, phone numbers and names are normalized the way each platform asks and hashed before the file is made, so nothing readable leaves doTask. By default only people who agreed to marketing are in it; people who opted out never are. A phone number written the local way (with a leading 0) is left out rather than guessed. For people who reached you on WhatsApp, Instagram or Messenger, only an email they gave you goes in: Meta allows what comes through its platforms (their WhatsApp number, their profile name) to be used for ads only in aggregate, so those are left out, and someone with no email is not in the file. Owners and admins only, and every export is in the activity log.
