Inviting your team and roles

Invite by email; owner, admin, agent; per-area permissions; no money for staff; Staff mode.

  1. Settings → Team → Invite. Enter the email and pick a role.
  2. The invite link is shown to you to send on; the person signs up with it and lands in your workspace.
  3. Tick the areas each agent may open (inbox, AI Agent, bookings, settings…). A screen they may not open is hidden from their rail.
  • Owner — everything, including deleting data and the team itself.
  • Admin — everything inside the workspace; cannot remove the owner.
  • Moderator — conversations, bookings, customers, AI Agent, Flows and analytics; no workspace settings.
  • Agent — the inbox, plus whatever areas are ticked.

Two areas guard data rather than screens. Sales figures: the shop’s totals. Health and photos: sensitive visit notes (health details) and client photos. Owners and admins have both by default; moderators and agents have neither until an owner or admin ticks it for them under Adjust areas. A stylist still sees the notes and photos of the visits they were on.

Take payments and see customers’ money (Money) is on for everyone by default, so a front desk can ring up at Checkout. Turn it off and that person sees no money at all: no Sales in the rail, no Checkout, no invoices or payments, no Money tab or spend on a customer, no prices on bookings or services. The invite form has both switches, Sales figures and Money; what you choose there becomes the default for the next invite. Sales figures always includes Money.

Staff mode, for a shared front-desk device signed in as the owner: open your account menu → Switch to Staff mode. The first time, choose a 4-digit PIN. That login then hides money, Settings and Analytics until someone taps Owner mode in the strip at the top and types the PIN. Your other devices stay in Owner mode. Five wrong PINs lock it for 15 minutes; signing out and in again with the owner’s password always starts in Owner mode.

Managed access (an agency, or doTask support): someone with a doTask login asks for a seat at app.dotask.io/access by giving your email, their agency name, the role they want and for how long. You get an email and see it under Settings → Team → Access requests, where you approve — choosing the role and the end date yourself — or decline. An approved seat is an ordinary member marked as managed, listed under Managed seats with its end date; it ends by itself on that date and End access ends it sooner. Everything they do is under their own name in the activity log. If you belong to more than one workspace, the account menu (bottom left) switches between them.
