Autopilot: hand the routine work to doTask

Switch on the jobs you want done for you (front desk, reminders and no-shows, review replies, a monthly promotion), set what the AI may do alone, and work everything that needs a person from one queue.

Autopilot (the plane in the menu) is for handing a whole job to doTask instead of doing it in the inbox yourself. The AI does the work; anything it may not do alone, or is unsure of, waits for a person in one queue.

The jobs

  • Front desk: every enquiry on WhatsApp, Instagram, Messenger, live chat and email answered from what the AI knows, bookings made, and a person within your reply time after a hand-over. A chat that waits longer alerts the people you chose, by browser notification and email, once.
  • Review replies: a reply written for every new Google review within a quarter of an hour. Replies post by themselves only for the star ratings you allow (five stars, or four and five); one-, two- and three-star reviews always wait for a person.
  • Reminders and no-shows: two reminders before every booking taken in doTask (two days and one day before, or the hours you set), on WhatsApp by an approved Utility template with three blanks (name, service, day and time) and by email, skipped if the booking is cancelled; and a sorry-we-missed-you email an hour after a booking is marked no-show. The job keeps two automations, Autopilot: booking reminders and Autopilot: sorry we missed you, under Email › Automations; switching the job off pauses them. Each morning, yesterday’s bookings nobody marked wait in the queue. If Bookings › Settings also sends a reminder, turn that one off so customers do not get both.
  • Monthly promotion: from the day of the month you choose, the queue offers to write next month’s email. Write it with AI drafts it in the email designer, named Autopilot: <month> promotion, with your logo and colours, from what you sell, the offers you wrote under the job, and the month’s holidays and seasons; it never invents a price or an offer. You check it, choose who gets it and send it. Nothing goes out before you do.

Autopilot → Jobs and rules has a card per job: its switch and its rules, quiet hours (no alerts to the team at night; the AI keeps answering) and who is told when something waits too long (nobody chosen: the owners and admins). Owners and admins change them.

The queue

Autopilot → Queue lists what needs a person, the most urgent first: chats past the reply time, replies that did not reach the customer, chats waiting for a person, replies the AI was unsure of, drafts to approve (chat and email), Google reviews to answer, and a workspace whose AI has nothing to answer from yet.

  1. Press Review on a row. The panel shows what the customer said and the reply.
  2. Edit the reply if you like, or press Draft with AI for one.
  3. Press Send (or Approve and send). It goes out exactly as it would from the inbox, under the same channel rules, such as WhatsApp’s 24-hour window.
  4. Or give it to a teammate, snooze it for 4 hours, or clear it. A waiting chat leaves the queue by itself once someone answers it.

If you work in several workspaces (your own, or ones you were given access to as an agency or by doTask), the queue shows them all, with a chip per workspace. You only ever see workspaces you are a member of. Open takes you to the item in its own workspace.

Set up your AI

Autopilot → Set up your AI opens AI Agent → Set up your AI, the guided page that teaches the AI your business and decides when it starts answering customers (its own guide: Set up your AI).

Autopilot plans

Autopilot → Autopilot plans is doTask running the front desk for you, priced against a receptionist: Autopilot Front Desk, RM 1,290 a month (Growth included, with the front desk, reminders and no-shows, and the monthly report), or Autopilot Full, RM 1,990 a month (adding review replies, the monthly promotion and a doTask person checking what the AI could not settle). Yearly is ten months. Either starts with the done-for-you setup, RM 990 once. The owner starts it on Stripe; a workspace that already pays for a plan writes to [email protected] and is moved over with no double charge.

What we did

Autopilot → What we did counts a month’s work: enquiries, how many the AI answered alone and how many a person did, the median time to the first reply and to a person’s reply after a hand-over, bookings made (by the AI and online) and their value, no-shows followed by a new booking within 30 days, and Google reviews replied to. Every figure is a count of what happened, never an estimate. Owners and admins of a workspace with Autopilot on get it by email on the 1st, and Home shows last month in three numbers.

TipAn AI with nothing to answer from may guess. Run the AI setup before you hand it the front desk.
